Where the money goes

Three leaks every small lot has

None of them show up on the windshield. All of them show up in the bank account a month later.

Recon

A $700 recon budget turns into $1,300 one invoice at a time, and nobody adds it up until the car sells.

Aging

Every day a car sits costs floorplan interest and lot space. Past 90 days, most cars make more at wholesale than on the lot.

Curtailments

A 10% curtailment on three cars in the same week can drain the operating account if you don't see it coming.

What's inside

One app. Six questions answered.

Inventory, deals, recon, floorplan, pricing and leads in one place, with color-coded alerts that tell you what needs attention today.

Tool 1

Deal Profit Calculator

What did that car actually make?

True front, back and net profit, profit per day, and your break-even sale price. Includes a Deal Log for every car you sell.

Tool 2

Recon Cost Tracker

Am I over budget on this one?

Log every bill by category. Each car shows spend against its recon budget, and the dashboard flags any car that goes over.

Tool 3

Inventory Aging Dashboard

Which cars do I need to move?

Days in stock, carrying cost so far, and a suggested action for every unit, bucketed at 30, 60 and 90 days.

Tool 4

Floorplan Tracker

What's due to the bank next week?

Interest to date on every floored car, the next curtailment date and amount, and a warning before it hits.

Tool 5

Pricing + Max Bid

What should I list it at, and what should I pay?

Price from real market comps, and get a walk-away max bid before you raise your hand at the auction.

Tool 6

Sales Follow-Up Tracker

Who do I need to call today?

Every lead gets a next follow-up date. Overdue leads turn red, and you see which lead sources actually sell cars.

Who it's for

Built for the lot, not the corporate store

Deal File was built by a dealer family and tested on a working independent lot. It's for owners who want real numbers without a complicated, expensive DMS.

  • Independent and buy-here-pay-here lots, roughly 5 to 50 cars
  • Owners who do their own buying, pricing and paperwork
  • Lots running on paper, a basic DMS, or messy spreadsheets
  • Anyone with a floorplan line who's been surprised by a curtailment
  • Not a replacement for a DMS, accounting or a titling system

Questions

FAQ

Do I need to install anything?

No. Deal File runs in your web browser on any phone, tablet or computer. Sign up and you're in.

Does it connect to my DMS?

Not yet. You add cars, bills and deals in Deal File directly, which takes a minute per car. It works alongside any DMS, or none.

What happens after the 30-day trial?

You choose whether to subscribe for $39 a month. If you don't, your account pauses. Nothing is charged without your OK.

Who can see my numbers?

Only your dealership. Each dealership's data is kept completely separate, and we never share or sell it.

Can my whole team use it?

Logins for managers and salespeople are coming soon. Until then, one login per dealership.

Is this accounting or tax advice?

No. Deal File helps you track and estimate. Confirm floorplan terms with your lender and taxes with your accountant.
